Annual Services

  • Pay distributions to owners / shareholders for whom the relevant details are held. (Filing RWT where applicable).

  • Liaise with professional Accountants & Auditors to prepare & provide annual statement of accounts.

  • Liaise with Responsible Trustees of the Trust regarding their Trust distributions.

Monthly Services

  • Creditor payments (2-step approval method).

  • Debtor invoices.

  • Keep accounts of money received/paid.

  • GST return / FED return / FBT return (filed with appropriate entities).

  • Internal financial reports.

Ongoing Services

  • E-file and backup of financial documents. (3-way file)

  • Maintain and update owners / shareholders register. (updating of details as per communications with Māori Land Court & owners)

GOVERNANCE SUPPORT

As required Services

  • Provide information held by A1 Administration Solutions on behalf of the Trust to support the needs of the Trustees and owners.

  • Assist with Responsible Trustee queries regarding their Trust order and Trust assets.

Annual Services

  • Minute-taking of Annual General Meetings & Special General Meetings and distribution to owners / shareholders.

  • Shareholder registration at AGM & SGMs.

Monthly Services

  • Minute-taking of monthly board meetings.

  • Trustee Accountability Service: Notify all board members of dates for future monthly meetings (Via email and text message).

PAYROLL SUPPORT

  • Pay employees of the Trust. (Weekly or fortnightly basis)

  • File PAYE with the Inland Revenue Department.

  • Utilize cloud payroll software technology.

  • E-file and backup of payroll information (3-way file).

PRINT SUPPORT

  • Printing, scanning & photocopying of required documents for Responsible Trustees and shareholders.

  • Newsletter mailouts to owners / shareholders (annually or quarterly).

  • Annual AGM mailouts (including all required documents).

    To note: As A1 Administration Solutions is dedicated to becoming more environmentally conscious each year, we will be limiting our use of paper, and will eventually phase out print support services.
